Logistics for Suppliers to Russian Retail and Distribution
Retail lives by seasons and stock turnover: goods must arrive in time for the sales window, with a full set of documents for acceptance by the chain and correct marking. Missing the season devalues a consignment more than any saving on freight.
Arriving in time for the sales window
If your customers in Russia are retail chains, distributors or marketplace sellers, the delivery date is set by the season, not by the freight schedule. We plan backwards from the date the goods must be on the shelf, collect from your premises or consolidate from several factories, lodge the export declaration for you and send you proof of export for VAT zero-rating.

The industry’s pain points — and how we deal with them
Making the season
We plan backwards from the “goods on the shelf” date, allowing for peaks (Chinese New Year, Q4), terminal queues and a buffer for clearance. To top up bestsellers mid-season — air and express rail.
Chestny Znak marking
In 2026 more and more product groups fall under Russia’s mandatory marking — from clothing to confectionery and radio electronics. We apply the codes at the factory or at the consolidation warehouse: relabelling at a temporary storage warehouse in Russia is the most expensive option.
Documents for acceptance by the chain
Fully compliant (“white”) delivery with a customs declaration, a Russian universal transfer document (UPD) with VAT shown separately and EAC certificates — exactly what federal chains’ buyers ask for. No grey schemes: the risk of a supplier being blocked by the chain outweighs any saving.
Many suppliers — one delivery
Consolidation of purchases from dozens of factories (Yiwu, Guangzhou, Turkish markets) into a single consignment with one set of documents and one customs declaration.
How we work
Calendar of seasonal windows → order placement and production follow-up → consolidation and marking at the origin warehouse → main flow by rail/sea plus air top-ups for bestsellers → customs and certification → delivery to the chain’s distribution centre or your customer’s warehouse.
Sanctions compliance
We only handle goods that are not subject to EU, UK, Swiss or US sanctions. Before we accept a booking we screen the HS codes and the parties; restricted items are declined.

Frequently asked questions
How far in advance should goods be ordered for the New Year season?
From China, orders are placed in June–July and shipped in August–September: production takes 15–45 days, rail transit 16–35 days, plus a buffer for Q4 peak queues and clearance. “Last wagon” consignments in November go by air or express rail — more expensive, but they make the season.
Who applies Chestny Znak codes to imported goods?
Responsibility lies with the Russian importer, but physically it is cheaper to apply the codes before the border: at the factory or at our consolidation warehouse. We order the codes, apply them and aggregate them into cartons with SSCC — the goods arrive ready for acceptance.
Do you provide the documents federal chains require?
Yes, that is the standard of a fully compliant delivery: the customs goods declaration, a UPD with VAT shown separately, EAC certificates and declarations of conformity, and marking. The set meets the requirements of chain buyers and marketplace platforms.
Can an order be assembled from many small factories?
Yes — that is what our consolidation warehouses in China are set up for: we receive goods from dozens of suppliers, check quantities and defects on receipt, and combine everything into one consignment with a single declaration. Your customer deals with one logistics invoice instead of dozens of shipments.
