Road freight from Poland to Russia
Poland is the shortest road leg out of the European Union: from Warsaw it is only about 200 km to the Belarusian border, and 3–5 days door to door to Moscow. We collect from your premises anywhere in Poland, lodge the EX1 export declaration on your behalf and send you the MRN, so you hold proof of exit for zero-rating the VAT on your sale to a buyer in Russia.
Smaller consignments from 50 kg go to our own warehouse in Warsaw and leave every week in a groupage truck after the Friday cut-off; groupage starts from €850 for three pallets Warsaw → Moscow. For larger orders we send a dedicated truck to your loading dock in any Polish city, from €4,500 per trip. At the border the trailer is swapped or the goods are reloaded onto a vehicle authorised for Belarus and Russia.

Tips for suppliers
- Deliver or book collection before the Friday cut-off at our Warsaw warehouse to make that week’s groupage truck.
- From about 10–12 pallets or 15 m³ a dedicated truck is usually better value than groupage — and it goes straight to the border.
- Send the commercial invoice and HS codes with the booking: we screen goods and parties against EU sanctions before collection.

We do not quote per kilogram: groupage is priced by places and pallets, a truck per trip. The EX1 export declaration is a separate line: €150 when lodged at our Rotterdam warehouse together with our shipment, from €450 when filed remotely. Insurance starts from 0.3% of the invoice value, and the minimum service fee is €200. Send the collection address, weights and dimensions and we reply with LTL and FTL options within 2 hours.
How long does a truck from Poland take to reach Moscow?
3–5 days door to door on average (route: our Warsaw warehouse → Brest border crossing → Moscow). Groupage waits for the weekly consolidation to close at the warehouse; a dedicated truck leaves as soon as it is loaded. Most of the variation comes from queues at the border and customs clearance in Russia. From Moscow we deliver on to St Petersburg, Yekaterinburg, Kazan, Novosibirsk or any other city.
Who lodges the EX1 and how do I get proof of exit?
We do, on your behalf — also when you sell EXW. You provide the commercial invoice and packing list; we issue the CMR, lodge the EX1 and send you the MRN. Once the goods leave the EU, the exit is confirmed electronically and you keep it as evidence for zero-rating the VAT on your sale. Your buyer in Russia handles the Russian import declaration and EAC certificates with our help.
Can you collect in any Polish city, not only Warsaw?
Yes. For groupage we bring the goods from your premises to our Warsaw warehouse; for a full load the truck comes straight to you in Poznań, Wrocław, Łódź, Kraków, Katowice, Gdańsk or any other address and runs to the Brest crossing without intermediate handling.
